Privacy Policy

Effective November 1, 2026

Your privacy matters to us. This Privacy Policy explains what personal information EngineFleet collects, why we collect it, and how we protect it, in line with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules.

1. Who we are

EngineFleet is run by Cloudlabs Software Development Services, Guiguinto, Bulacan, Philippines. For the personal information of business owners, their staff and visitors to this website, we are the personal information controller. For customer information a business collects through EngineFleet, the business is the controller and we process it on the business's behalf.

2. Information we collect

From business owners: your name, email address and profile photo from your Google account when you sign in with Google, or your email address when you sign in with an emailed code; your business details such as business name, contact details, address, logo, photos, vehicles, prices and policies; and payment records for your plan, including the name on a Wise transfer if you give it (we do not store your card, GCash or bank login details).

From staff a business adds to its team: their email address, and the bookings and payments they added or changed, so the business can see who did what.

From customers, through a business's booking page and booking links: the details the customer or business enters, such as name, email, phone number, dates, venue or address, number of guests, notes and answers to the business's questions; payment screenshots and reference numbers, and the details read from them; documents the business asks for, such as a valid ID or driver's license; and, when signing a contract, the typed name, drawn signature, time, IP address and browser, kept as a record of the signature.

If a renter chooses an optional EngineFleet account, we also keep the name and mobile number they choose to save, their verified sign-in email, and the private booking links they choose to connect by opening them while signed in. Their account is not needed to book or use a private booking link.

From anyone who contacts us: your name, email and message.

From visitors: basic technical information such as browser type, pages visited and approximate location, used to keep the site working and secure. Analytics and advertising cookies are used only if you allow them (see section 6).

3. How we use it

We use personal information to create and run your account and booking page; handle bookings, reminders, contracts and payment requests; let renters who opt in save contact details for future booking forms and find bookings they have linked; send service messages such as booking emails, receipts, notifications and important updates; process plan payments; reply to your questions; keep EngineFleet secure and prevent abuse; and understand how the site is used so we can improve it.

We do not sell your personal information.

4. Customer information in bookings

When a business records a booking or a customer books through a business's booking page, the business decides how that information is used to provide its service. EngineFleet stores it on the business's behalf. Businesses must only use customer information to handle that customer's bookings and must keep it confidential. Customers who want to see, correct or delete their information should contact the business first; we will help the business respond.

A renter account is optional and separate from each business's customer records. A renter links a booking by signing in and opening its private link. The account lets that renter find only the booking links they linked; it does not give a business access to bookings with another business.

5. Who we share it with

We share personal information only as needed to run the service: with service providers that host our site, database and files, send email and push notifications, and process payments; with Google, when you choose to sign in with Google; with a business's own payment provider, when the business uses online checkout for its customers; and with authorities when the law requires it.

Information a business puts on its public booking page, such as its name, photos, vehicles and prices, can be seen by anyone. A renter account's linked booking list is visible only to the signed-in renter.

6. Cookies

We use essential cookies to keep you signed in and secure. These are always on, because the site can't work without them. Google's sign-in button may set its own cookies.

With your permission, we may also use analytics cookies to understand how this website is used, and advertising cookies to measure our ads. You choose in the cookie banner, and you can change your choice anytime from Cookie settings at the bottom of the page. Customers using a business's booking page or booking link get essential cookies only. After a customer books, their name, mobile number, email and Facebook link may be kept in their own browser on that device, so the next booking page fills them in; "Not you? Clear" removes those browser-saved details. Renters can separately choose to save their name and mobile number to an optional account, which they can remove from My bookings. Their verified email and the booking links they connect are also kept for that account; their booking links continue to work if they do not have an account.

You can also clear cookies in your browser settings, but you will need to sign in again.

7. How long we keep it

We keep account, booking and booking page information while the business's account is active, so the business has its booking history. Optional renter account details (name, mobile number and Facebook profile link) and linked booking references are kept until the renter removes them (Remove my saved details, under My booking on the business's booking page) or asks us to remove them, and are deleted automatically 12 months after the renter last booked or saved them. Afterwards we keep only anonymous counts of renter accounts (the month it was made and closed, and how many bookings it linked), with no name or contact details. Removing them doesn't delete the business's booking or change its private booking link. Some information is only needed for a while, so we delete it automatically. Documents customers send from their booking link, such as a driver's license or valid ID, and what was read from them, are deleted 3 months after the rental ends, and the business is told a week before so it can download any it needs. Payment screenshots are deleted 3 months after the rental ends too; the payment record itself stays. Notifications in the dashboard are deleted 90 days after they're read.

Businesses can also delete bookings, documents and files sooner, and deleting a booking deletes its payment screenshots, documents and signed contracts.

If a business deletes its account (in Settings, or by asking us), its booking page goes offline at once and we keep its information for 30 days, so it can change its mind. A business with no plan running that nobody has used for 6 months is deleted the same way: we email its owner, its booking page goes offline, and it can be kept by signing in within 30 days. After that we delete its account, its customers' information, and its photos, documents and files, except records we must keep by law, such as payment records.

8. How we protect it

We use encrypted connections (HTTPS), access controls that keep each business's data separate, private links that are hard to guess, and trusted service providers to protect personal information. No system is perfectly secure, but we work to keep your information safe and will notify you and the data protection authority (such as the National Privacy Commission in the Philippines) of a personal data breach when the law requires it.

9. Where your information is stored

EngineFleet is run from the Philippines, and our service providers (who host our site, database and files, and send email) keep information on their servers, which may be in another country than yours, such as in Australia, Singapore or elsewhere in Asia. So your information may be transferred outside your country.

When it is, we only use providers that protect it at least as well as this policy does, under written agreements that limit what they may do with it, and we keep it encrypted on the way. Where your law requires it, such as in Singapore, Malaysia, Thailand, Indonesia or Vietnam, we take the steps it asks for before information leaves your country, such as relying on your consent or the provider's safeguards.

10. Your rights

You have rights over your personal information under the law of your country. Wherever you are, you can ask us to tell you what we hold about you, give you a copy, correct it, delete it or stop using it, and you can withdraw a consent you gave (such as for analytics cookies). Depending on your country:

Philippines: under the Data Privacy Act of 2012, you also have the right to object, to data portability and to claim damages, and you may complain to the National Privacy Commission.

Singapore: under the Personal Data Protection Act 2012, you may complain to the Personal Data Protection Commission.

Malaysia: under the Personal Data Protection Act 2010, you may complain to the Personal Data Protection Commissioner.

Thailand: under the Personal Data Protection Act B.E. 2562 (2019), you also have the right to data portability and to object, and you may complain to the Personal Data Protection Committee.

Indonesia: under Law No. 27 of 2022 on Personal Data Protection, you also have the right to data portability and to object to decisions made only by automated means.

Vietnam: under Vietnam's personal data protection law, you also have the right to object and to restrict how your data is used, and you may complain to the Ministry of Public Security.

To use any of these rights, email us at [email protected]. We may ask you to confirm your identity first, and we reply within the time your law sets. Customers of a business on EngineFleet should ask that business first, since it decides how their information is used (section 4); we help the business answer.

11. Children

EngineFleet business accounts are for people 18 and older, or younger owners with a parent's or guardian's permission. We do not knowingly collect personal information from children without that consent. A business that books services for minors is responsible for getting a parent's or guardian's consent.

12. Changes to this policy

We may update this policy from time to time. We will post the new version here with a new effective date, and tell account holders about important changes.
